Job Summary:

The Operations Support Officer is responsible for the general support tasks of the Coordination Office. The Operation Support Officer is part of the Operations team which functions under the Office of the Executive Director. She directly reports to the Executive Director and Finance Manager for the finance aspect of the work while for the administration work, she is accountable to the Executive Director.

Key Responsibilities:

Finance:

  • Prepare monthly petty cash overview
  • Submit quarterly reports to Philhealth and Social Security System
  • BIR, SSS, Philhealth and Pag-ibig fund payments every first week of the month
  • Cheque signing, deposit and encashment
  • Process bank transfers, telegraphic transfers, foreign currency exchanges
  • Reports to the Executive Director and Finance Manager in matters related to Operations
  • Assist the Finance Manager in other functions assigned to him/her
  • Check liquidations and consequently files finance related documents
  • Works in close coordination with the Programme Team to support in smooth operations and execution of projects and events.

Administrative:

  • The Operation Support Officer is responsible for keeping the Manila Office files (hard copies) up to date and well maintained.
  • The following are the administrative files:
    • Mayor’s permit, BIR, Sec
    • Online transaction of SSS, BIR, Philhealth, pag-ibig Fund
    • Contracts (employees, Board files, consultant, services, House rentals, Website Funders, Financial statement etc.)
  • 201 File (staff employment records)
    • Administrative forms (leave, work at home, transmittal slips, etc)
    • Library related documents
    • Admin-related incoming and outgoing mails
    • Hard copies of minutes of meetings (team, policy and operations)
  • Take care of food and office supplies of WGNRR
  • Maintain overview of contract renewals
  • Maintain a well-organized, accessible and updated documentation storage
  • Maintain and update mailing list of WGNRR partners
  • Answering the telephone, handling faxes and postage
  • Perform messengerial tasks for operations and programme teams
  • Processing of incoming and outgoing correspondences
  • Monitors location and schedule of staff
  • Maintain the cleanliness and orderliness of the office and office premises
  • The Operation Support Officer assists the Finance Manager in Finance tasks
  • Perform administrative tasks assigned by the Executive Director
  • Report to the Executive Director and Finance Manager in relation to his/her administrative tasks
  • Maintains list of suppliers and coordinates with them

Qualifications

  • Filipino national
  • Have a Bachelor’s degree in any subject
  • Have a fair command over English and good communications skills
  • At least 2 years of experience in similar work and in an NGO setting
  • Have strong feminist values and has experience working in SRHR settings
  • Able to work remotely and able to work with cross-functional teams
  • Is creative, adaptable and a keen learner.

Salary Range: PhP25,000 – PhP30,000 per month basic pay and is commensurate with experience & qualification
